AI for associations and volunteers

Draft an association's meeting update with AI and practise separating public decisions from member information.

Estimated time
About 12 min

Start with an update from the Myllypuro residents' association

The Myllypuro residents' association is run by ten volunteers and organises a neighbourhood garden party in August. After each board meeting, the secretary writes a short public update for the association's website so that residents who did not attend can see what was decided. However, the meeting notes always contain information that does not belong on a public page, such as individual residents' names and account balances. AI can help write the update, but only from the part of the notes the board has already approved for public use.

Your goal for this session

You will draft one public update from the public decisions of a fictional board meeting and review the AI's suggestion together.

Your first experiment: from meeting notes to an update

  1. 1

Separate public and internal information before using AI

Go through the meeting notes together. Mark which decisions could appear unchanged on the public website and which concern an individual resident, money or internal board discussions.

  2. 2

Give the AI only the public sections

Copy only the decisions you marked as public into the request. Do not include the whole set of notes, names or amounts of money, even if they seem harmless.

  3. 3

Ask for an update rather than an opinion

Ask for a short, neutral draft based on the public decisions provided. Tell the AI not to fill gaps in the information with guesses.

  4. 4

The secretary and chair approve it together

The people responsible read the draft and make sure no personal information has slipped in. Only the approved text goes on the website.

Try these requests for Myllypuro

Turn meeting notes into a public update

Write a short, neutral board meeting update for the Myllypuro residents' association website using only these public decisions: the garden party will take place on the second Saturday in August, three more volunteers are needed to manage the barbecue, and the board decided to buy a new canopy tent for shared use. Do not name anyone, discuss amounts of money or invent information that is not in this list. At the end, flag whether you think the update would be too limited without further information.

Follow-up: check that nothing is invented

Go through the update you just wrote line by line and mark every part that is not based directly on the three decisions I supplied. Remove each such part or make it more general so that no new information remains.

The same information in another channel

Write a short, welcoming post for the Myllypuro residents' association Facebook group seeking three volunteers to manage the barbecue at the garden party on the second Saturday in August. Say that no previous experience is needed and that volunteers will be shown what to do on site. Finish by suggesting one way to sign up, such as replying to this post or sending the secretary a private message.

Improve the request by stating the publication boundary

A draft update is not yet an association decision

A common request:

Write an update about the meeting.

Write a draft update for the Myllypuro residents' association website covering only these two public decisions: the association will hold a communal garden clean-up on the first Saturday in September, and a new noticeboard will be installed on the stairwell wall. Do not cover other matters discussed at the meeting, name anyone or add schedules or amounts of money I did not provide. Finish with one sentence saying who must approve the text before publication.

Limiting the information to what has already been approved for public use, and prohibiting invented additions, makes the draft easy for the responsible person to check before publication.

The association's privacy boundary

People decide; AI suggests

AI can suggest the wording of an update, but it must not send messages itself, edit the membership register or make decisions on the association's behalf. Agree in advance on who may use the tool and who approves its suggestions before publication.

Once you know the basics

Agree within the board to make this approach to drafting updates a regular practice. Try it after the next meeting and review together whether it made communication faster.

Write an update using only the information provided

Write your own update first. The hint and assessment criteria become available only after your own attempt or after choosing "I cannot do this yet". The material stays visible throughout the exercise so you can check every claim against it.

Use only the fictional material provided in this exercise, rather than your own association's real membership or meeting information.

Question 1/3

Question 1/3

Imagine your association wants to publish a short website update about the material. Write a draft about the history of the spice trade in no more than four sentences.

Use the practice activity in your own AI service (optional)

A public message does not need the membership register.

An association's communications are public, but the underlying material is not. Practise writing an invitation that leaves only a placeholder wherever member information would be needed.

Task

Background
Public information only
Format
Placeholders left unfilled

Write three versions of an invitation to an open event. Use only information that could appear on an association's public website. Mark every place that would require member, participant or donor information with a placeholder, and do not fill it in.

Ready to try it in the actual tool?

Do the exercise together if possible. The result is most useful when several people can see where the placeholders remain.

Member data is not brainstorming material: Use only fictional information in this exercise. If a section would require real member, participant or donor information, leave a placeholder and do not let the AI fill it with a guess.
